This policy explains what personal data Build Your Vision Ltd collects through the BYV People Hub website and platform, why we collect it, where it is stored and the rights you have over it. It is written to meet the UK GDPR and the Data Protection Act 2018.
1.Who we are
BYV People Hub is provided by Build Your Vision Ltd (“we”, “us”, “our”), a company registered in England and Wales [company number and registered office to be confirmed]. We are the data controller for personal data collected through this website (including the waitlist and demo requests) and for the account data we hold about the people who sign in to the platform.

2.What this policy covers
This policy explains how we handle personal data when you:
- visit byvpeoplehub.com or join the waitlist, book a demo or contact us; and
- sign in to BYV People Hub as an owner, manager or employee of an organisation that uses the platform.
When an organisation uses BYV People Hub to manage its own people, that organisation is the data controller for its employee records and we act as its data processor under the data processing terms in our customer agreement. If you are an employee of such an organisation, your employer's own privacy notice explains how it uses your information; this policy describes what we do as processor and how we protect it.
3.The information we collect
Website and waitlist. Your first name and email address when you join the waitlist; your name, email address, company and message when you book a demo or contact us; and technical information such as IP address, browser type and pages visited, in server logs.
Platform accounts. Your name, work email address, role, the organisation you belong to, sign-in and security data (for example password hashes, session tokens and the time you last signed in) and an audit trail of sensitive actions taken in the platform.
Employee records (processed on behalf of your employer). The information your organisation chooses to store in the platform, which may include job and contract details, leave and absence records, probation and review notes, right to work and other HR documents, emergency contacts and, where relevant, special category data such as health information connected to sickness absence. Access to this data is restricted by role inside the platform.
4.How we use it and our lawful bases
- To run the waitlist and tell you about launch — with your consent, which you can withdraw at any time by using the unsubscribe link in any email or by contacting us.
- To respond to demo requests and enquiries — our legitimate interest in responding to people who contact us, or steps taken at your request before entering into a contract.
- To provide the platform to the organisation you belong to — performance of our contract with that organisation, acting on its documented instructions as processor.
- To keep the service secure and prevent misuse — our legitimate interests in protecting the platform, including keeping audit logs of sensitive actions.
- To comply with legal obligations, for example responding to lawful requests from authorities.
We do not sell personal data and we do not use it for automated decision-making.
5.Marketing
If you join the waitlist we will email you about early access, launch pricing and product updates for BYV People Hub. We will not add you to other marketing lists or share your details with third parties for their marketing. Every email includes a way to opt out.
6.Where your data is stored
BYV People Hub data is stored on infrastructure located in the European Union (Ireland), which the UK Government recognises as providing an adequate level of protection for personal data. Our website is served through a global content delivery network; page content is cached at the edge but personal data you submit is transmitted to and stored in the EU.
Some of our service providers (for example email delivery) may process limited data, such as your email address, outside the UK and EU. Where that happens we rely on UK adequacy regulations or the UK International Data Transfer Agreement / Addendum to the EU Standard Contractual Clauses.
7.Who we share it with
We share personal data only with:
- Service providers who help us run the website and platform — cloud database and hosting, web hosting, transactional email delivery and error monitoring — under contracts that require them to protect your data and use it only on our instructions;
- Your organisation (if you are a platform user), which controls the employee records held in its account;
- Professional advisers, insurers and, where required, regulators or law enforcement; and
- a successor business if we sell or restructure Build Your Vision Ltd, on terms that continue to protect your data.
8.How long we keep it
- Waitlist details — until you unsubscribe or 12 months after launch, whichever is sooner.
- Enquiries and demo requests — up to 24 months after our last contact.
- Platform account and audit data — for as long as your organisation uses the platform and for a limited period afterwards to meet legal, tax and dispute-resolution requirements, after which it is deleted or anonymised.
- Employee records — retained according to your organisation's instructions and its own retention policy; when a customer leaves we return or delete its data as set out in our customer agreement.
9.How we keep it secure
We use encryption in transit and at rest, role-based access controls so that employees can only see their own record and managers only their teams, short-lived links for document downloads, an audit trail of sensitive actions and invitation-only sign-up. No system is completely secure, so if you believe your account has been compromised please contact us straight away.
10.Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal data we hold about you (access);
- have inaccurate data corrected (rectification);
- ask us to delete your data in certain circumstances (erasure);
- ask us to restrict or object to processing;
- receive your data in a portable format; and
- withdraw consent at any time where we rely on it.
To exercise any of these rights email info@buildyourvision.co.uk. If your request concerns employee records held by your employer we will pass it to them and help them respond. You also have the right to complain to the Information Commissioner's Office at ico.org.uk, although we would welcome the chance to address your concerns first.
11.Cookies
We use only the cookies needed to keep you signed in and to run the site. Details are in our Cookie Policy.
12.Children
The website and platform are intended for businesses and their staff. We do not knowingly collect personal data from anyone under 16 through the website.
13.Changes to this policy
We may update this policy from time to time. We will post the new version here with a revised “last updated” date and, where the change is significant, let platform users know by email or in the app.
